Time Card Calculator

Clock in/out, breaks, weekly totals

Rules used: US Fair Labor Standards Act (40-hour week, 1.5× overtime) and California Labor Code § 510 · Updated Oct 21, 2026

Type the times as you would on a punch card — 9, 930, 9:30am or 17:30 all work. Totals show in hours:minutes and decimal hours, with overtime split out under the federal 40-hour rule or California's daily rule.

How to use the Time Card Calculator

  1. Type the In time — 9, 930 or 9:30 — and press Enter: it becomes 9:00 AM and the cursor moves to Out. Type 5 and Enter: the calculator picks 5:00 PM because that gives a normal shift. Tap AM or PM to change it; 10 PM → 6 AM runs past midnight.
  2. Put unpaid breaks in the Break column in minutes (30) or hours:minutes (0:30). Leave a day empty if you did not work.
  3. Pick 2 weeks for a biweekly pay period, and add your hourly rate to see gross pay.
  4. Choose the overtime rule that applies to you and, if your employer rounds punches, a rounding step (nearest 15 minutes is the common "7-minute rule").
  5. Use Print / PDF for a clean timesheet, or Copy to paste the totals into an email or payroll form.

Time clock calculator with lunch breaks

A shift from 9:00 AM to 5:30 PM is 8 h 30 min at work. Take off a 30-minute unpaid lunch and the paid time is 8:00 — 8.00 hours on the time card.

Paid rest breaks of 20 minutes or less count as hours worked under federal rules, so only enter breaks you are not paid for — usually the meal break.

How the weekly overtime is worked out

Our example week is 8:00, 8:00, 8:00, 8:00, 9:00, 4:00 hours — 45:00 in total. Under the Fair Labor Standards Act the first 40 hours are regular time and the rest is overtime: 40:00 regular + 5:00 overtime.

At $20 an hour that is $950.00 gross: 40 × $20 plus 5.00 × $30 overtime.

Under California's rule this week also comes to 5:00 of overtime, but it is counted differently: Friday's 9th hour is daily overtime the moment it is worked, so it would be overtime even in a short week.

Biweekly time card calculator

Switch to 2 weeks for a biweekly pay period. Overtime is still counted per workweek: 45 hours in week one and 35 in week two is 5 hours of overtime, even though the two weeks add up to exactly 80 hours.

Decimal hours on a time card

Payroll systems want decimal hours: 7 hours 45 minutes is 7.75, not 7.45. Each day shows both formats, and the total is converted from the hours:minutes sum so rounding never adds up wrong. See the full minutes to decimal chart.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the clock-in time from the clock-out time, take off unpaid breaks, then add up the days. 8:30 AM to 5:00 PM with a 30-minute lunch is 8 hours. The calculator does this for every day and converts the total to decimal hours.

How do I enter times past midnight?

Just type them: In 10pm, Out 6am. Any Out time at or before the In time is counted on the next day, and the row is marked "+1 day".

What is the 7-minute rule?

Many employers round punches to the nearest quarter hour: 1–7 minutes round down, 8–14 round up. Choose "Nearest 15 min" under Round times to see the effect. Federal rules allow rounding only if it evens out over time.

Does the time card calculator save my hours?

Yes, in this browser only. Nothing is sent to a server. Use Clear to start a new week.

When is overtime paid?

Under the FLSA, non-exempt employees get at least 1.5 times their regular rate for hours over 40 in a workweek. Some states, like California, also pay overtime after 8 hours in a day — use our overtime calculator for a quick check.
